RFP process best practices for construction projects

RFP process best practices

Whenever you decide to send out a request for proposal to a construction company, you want to do the appropriate research and understand your needs before you start. Your goal is to find a company that has the capability and skill sets to bring your project to life.

At McCownGordon Construction, we dedicate time to educate our clients so the construction process runs smoothly from start to finish. If you are on the brink of a new build or renovation, here are some of the RFP process best practices you should consider.

Understand state statutes for RFPs

Before you get started, you should research and understand your state statutes that deal with RFPs and RFQs (request for qualifications). If you ever have questions, use McCownGordon as your resource. We can help you figure out your state statutes and how they will affect your construction process. At the end of the day, you want to make sure you are following state procedures for sending out RFPs and evaluating and selecting your construction manager. That will ensure the process goes as smoothly as possible.

Don’t wait until the last minute

Whether you’re sending out a public RFP or only sending one to a few companies, you should never wait until the last minute. Once you choose the right delivery method that considers your budget, schedule, expertise and project complexity, you gain an idea of what you need in a construction management firm.

For most projects, we recommend requesting proposals and making your selection to bring on a construction firm well before design is complete. This is even more important if you have a unique, complex project that requires more customization and creativity. Our preconstruction services help streamline design, budget, schedule—everything necessary to create a high-quality product. This allows everyone to be on the same page so when it’s time to build, mistakes and other mishaps are less likely to happen.

Ask the right questions

To get the type of responses you need, it’s important to ask the right questions. To do so, think about your initial idea for the project. What can your team currently do and what would you need help with? How complex is the project? What is your timeline? Understanding the basics will help you strategize a list of inquiries to help you find the right construction company. These may include:

  • Describe how you would approach and execute the project throughout the process.
  • List your previous experience building similar projects with X delivery method.
  • Provide resumes for your key personnel that will work on my project.
  • Outline your method for cost estimation and your cost estimating capabilities.
  • Detail your firm’s ability to collaborate and partner with design firms.
  • Provide a preliminary project schedule.
  • Provide a summary of your typical safety program and requirements for X industry.
  • Describe your current financial status and provide evidence.
  • Provide construction fees.
